Management Systems: Turning Spreadsheets into an EMS
This is a description of a project type we deliver often: replacing a collection of spreadsheets, chat threads and personal notebooks with a management system that the whole team can use.
The Challenge
Data lived in files that only a few people understood. Updates arrived by message, versions multiplied, and nobody could say which copy was current. Reporting meant assembling everything by hand, and every change to the process required editing formulas that someone else had written months earlier.
Our Approach
Discovery mapped the real process rather than the documented one: who does what, in what order, which fields are used, and where the work actually gets stuck. Every spreadsheet was read line by line, because it contained not only the data but the unwritten rules of the business.
Solution
A web application around the concepts the business uses: records, states, assignments and history. Workflows enforce the sequence, roles control who can see and change what, and every significant change is recorded with a timestamp and an author. Reporting is generated from the live data instead of assembled from copies.
Technology
A relational database modelled on the real entities, a server-rendered interface for speed and simplicity, and export paths so data remains portable.
Implementation
Rolled out alongside the old process until the comparison held: both used for a period, differences reviewed daily, then the spreadsheets retired once the system demonstrably matched the work.
Results
