Offline-First Design for Field Work

This is a description of a project type we deliver: software for people working where the network is unreliable, and who cannot afford to lose what they record.

The Challenge

Work happened on sites and in vehicles where connectivity drops for minutes at a time. An application that assumes a live connection leaves staff unable to record anything, and a temporary failure that costs a day of data is worse than no application at all.

Our Approach

Discovery established what truly needs the network and what does not: reading records, capturing photographs, filling forms and recording measurements can all happen locally, while submitting, confirming and paying must wait. The critical question was the conflict rule: what happens when two people change the same record while apart.

Solution

A client that stores records locally and queues changes, with a synchronisation layer that reconciles when a connection returns. Conflicts are detected by rule rather than by luck: last-write-wins for simple fields, explicit review for anything that matters. Users can see what is waiting to sync, which is what makes the whole arrangement trustworthy.

Technology

Local storage in the mobile client, a backend API designed around idempotent submissions so a retried request is safe, and background sync that respects battery and data limits.

Implementation

Rolled out with sync monitoring in place from the first day, so failures surface to the team rather than to a field worker at the worst moment, and refined against real behaviour.

Results

Data captured, lost or delayed is measured against the previous process, and published only where verified and approved.
